DRAFT, NOT LEGAL ADVICE, FOR REVIEW BY A LAWYER. Draft 0.1, 20 October 2026. Written for the Swiss Federal Act on Data Protection (FADP) and the EU General Data Protection Regulation (GDPR).
1618 App privacy notice
This notice explains what personal data 1618 Robotics handles when you record clips with the 1618 App (the iPhone app and the pages at app.1618robotics.com), why, and what you can do about it.
1. Who we are
The Memeplex Weaving Company Sàrl, trading as 1618 Robotics ("1618", "we"), a Swiss company, company number CHE-290.862.749, Rue des Charmilles 1, c/o Arbitri Sàrl, 1203 Geneva, Switzerland.
Questions and requests about your data: sales@1618robotics.com.
2. Who this notice is for
- People who record clips with the 1618 App ("recorders").
- Team leads who manage a team of recorders for a partner company.
- Anyone who appears in a clip without recording it (for example a co-worker in the background).
3. What we collect
| Data | Examples | Where it comes from |
|---|---|---|
| Account | Your name and email address (Google sign-in) or your phone number (phone sign-in), a sign-in session | You, Google |
| Team | Which partner team you belong to, your role (recorder or lead) | Your team lead, you |
| Clips | The videos you record: your hands and body, the place, tools and objects, and any person who comes into view. Clips from the iPhone app have no sound; a file uploaded on the web page may contain sound | You |
| Clip details | The task you chose, recording time, length, resolution, phone model, app version | The app |
| Check results | Results of our automatic checks (resolution, length, both hands visible, task matches the label), the decision (accepted, rejected, waiting for review) and the reason | Our checks, our staff |
| Technical data | IP address and browser or app information while a request is handled | Your device |
| Email list | Your email address, country and language, when you asked to be told when we open in your country, and when you confirmed | You |
During a recording, the iPhone app also records the phone's motion sensors (how the phone moves and turns); we use this only to describe the camera's movement in the dataset.
We do not ask for health data or other sensitive data. Do not record your face on purpose, documents, screens with personal information, or anyone who has not agreed to be recorded.
4. Why we use it and on what basis
| Purpose | Legal basis (GDPR) |
|---|---|
| Run your account and your team, show you your clips and accepted hours | Contract (art. 6(1)(b)) |
| Check that clips meet the task and quality rules | Contract (art. 6(1)(b)) |
| Calculate accepted hours so your team can be paid | Contract (art. 6(1)(b)), legal duties for accounting (art. 6(1)(c)) |
| License accepted clips to companies that train robots and AI models | Your agreement to record for 1618 and your consent (art. 6(1)(a)); [TO CONFIRM by a lawyer] |
| Keep the service secure and stop abuse (for example duplicate or fake uploads) | Legitimate interest (art. 6(1)(f)) |
| Email you when 1618 opens in your country, and occasionally about 1618 projects (only if you signed up for the email list and confirmed) | Your consent (art. 6(1)(a)); withdraw it with the unsubscribe link in every email |
5. Who receives your data
- Service providers that work for us: Cloudflare (hosting the app and storing clips), Resend (sends our emails, United States), Neon (database), Google (only if you sign in with Google). If phone sign-in is switched on, a messaging provider sends your one-time code.
- Our own computers: the automatic checks run on 1618's own computers in Switzerland and the EU. Clips are not sent to outside AI providers for these checks.
- Your team lead: sees your name, the last 4 digits of your phone number, your clips' status and your accepted hours. Leads never see your full phone number.
- Companies that license clips: receive accepted clips with their task label. Delivery files contain no names, phone numbers or team names. Faces of people in the background are blurred before delivery.
- Authorities: only when the law requires it.
6. Where your data is stored
Clips are stored in Cloudflare's EU storage. The database is in Frankfurt, Germany. 1618 is in Switzerland, which the EU recognises as giving adequate protection. If a company that licenses clips is outside Switzerland and the EU/EEA, we use the EU standard contractual clauses or another lawful transfer tool [TO CONFIRM by a lawyer].
7. How long we keep it
- Rejected clips: the video is deleted 30 days after the rejection. The record of the decision stays so your hours remain correct.
- Unfinished uploads: deleted after 7 days.
- Accepted clips: kept and licensed until you withdraw your consent (section 8) or the clip is no longer needed. Copies already delivered to a company before you withdraw are covered by that company's licence [TO CONFIRM by a lawyer].
- Account and team data: while your account is active, then deleted, except what accounting law requires us to keep (up to 10 years in Switzerland).
- Email list: until you unsubscribe. We then keep the address, the record of your consent and the date you unsubscribed, so we never email you again and can show what you agreed to.
8. Your rights
You can ask us to:
- show you the data we hold about you and give you a copy;
- correct it;
- delete it, or stop using it;
- send it to you in a common file format;
- stop processing based on our legitimate interest.
You can withdraw your consent to the licensing of your clips at any time. This does not affect what was done before you withdrew it.
Write to sales@1618robotics.com. We answer within 30 days. You can also complain to the Swiss Federal Data Protection and Information Commissioner (FDPIC) or to the data protection authority where you live.
9. Age
You must be 18 or older to use the 1618 App. Do not record children.
10. Changes
We will update this notice when the app changes. The date at the top shows the current version.
